Who we are

Adara Marketing LLC (“Adara Marketing,” “we,” “us”) is a marketing company based in De Pere, Wisconsin. This policy covers https://adaramarketing.com and mobility.adaramarketing.com, the calls, texts and emails that come from us, our newsletter, and the dashboards our clients sign in to.

What we collect

When you give a phone number or an email address on one of our forms, we check that it is real before we accept it: the number is looked up with Twilio, which tells us whether any carrier serves it, and the email address’s domain is looked up to see that it receives mail. Nothing is sent to you to do this, and the results are not kept.

When you request a call, the form asks for your name, your business name, and your phone number. It also asks for an email address, which you can leave blank. Stored with those are the answers you gave on the way there: the kind of business you run, the trade where that applies, what is costing you work, who answers your leads now, and what you would want first. If you pick a time for the call, we keep that too.

When you use the website check, we keep the address of the site you checked and its report. If you ask for the full report by email, we keep your name, email address and phone number with it.

When we speak by phone, text or email, we keep a record of it: the call recording, a transcript and a short summary, and the texts and emails sent both ways.

When you sign up for the newsletter, we keep your email address, your first name if you give it, and when you signed up.

If you are a client, we also keep what we need to do the work and bill for it, such as proposals, invoices and your sign in details.

We also count page views on this site, as described next.

How the page counting works

It runs on our own servers. There is no third-party analytics service, no advertising pixel, and no cookie for visitors, which is why this site shows no cookie banner. The only cookies we set are for people who sign in to a dashboard, to keep them signed in.

No IP address and no browser string is kept from your visit. To tell a repeat view apart from a new one, your address and browser are turned into a fingerprint that cannot be turned back into either, mixed with a secret we hold and with the current date. Because the date is part of it, the fingerprint changes at midnight UTC, so yesterday cannot be matched to today and nobody can be followed across the calendar.

For each view we keep the page, the site that sent you, the kind of device, and the country, which our host works out from your connection. If you then request a call, or ask for the full website report, the fingerprint for that day is stored alongside your request, so we can see which pages led to it. Those are the only points where the two meet. The site also notes a few steps, such as a button being pressed or the form being started, in the same way, and the newsletter form and the demo calls use the same kind of fingerprint to limit repeated use.

When you send one of our forms, run the website check, or start a demo call, our hosting provider, Vercel, checks whether the request comes from a person or a program, so automated requests are turned away. To limit repeated requests, the booking and website report forms also keep a scrambled copy of the phone number or email address entered, mixed with a secret we hold, and clear it after a few days.

While you fill in the request form, your answers are held in your own browser so a reload does not lose them, and your browser clears them when the tab closes. When someone signs in to a dashboard, or asks for a sign in link, the address the request came from is kept with that record, to protect the account and to limit repeated attempts.

How we use it

We use your details to answer your request: to call and text you about it, to book and confirm a time, to send the report or summary you asked for, and to understand how we can help. We may also follow up by email about our services, and every such email has a way to stop them.

If you become a client, we use your details to do the work, bill for it, and support you. We use a newsletter address only to send the newsletter. Any of it may also be used to keep our systems secure, to meet legal obligations, and to settle disputes.

If we call you

When you request a call, we may call you back with our AI assistant. It tells you at the start that it is an AI and that the call is recorded. The call is recorded and transcribed, and a summary and a few notes about your request, such as what you need and whether a time was booked, are kept with it so we have an accurate record. If we miss you, we may try again a small number of times and send a text.

If you would rather not be recorded, or would rather talk to a person, say so and someone from our team will call you back. If you ask not to be called or texted again, we stop.

The live demo on our site works in a similar way: if you choose to speak or type to the assistant there, what you say is sent to the services that run it.

Ava, the AI sales rep on the demo page, is introduced as an AI on the card you start the call from, which also says the conversation is transcribed, and she says she is an AI whenever you ask. If you talk to her, what you say is sent to ElevenLabs, which runs her and keeps the transcript for a limited time so we can review and improve her. She may ask for your name and a phone number or email so our team can follow up; giving them is up to you. If you give her your number for it, she may text it a confirmation of a call she booked for you, or the link to book one later, while you are still on the call. If you do, the transcript of the call, a short summary and the details you gave are saved in our own records with your request, like any other request, so the team can get back to you. The audio is not kept. Please do not share anything sensitive with her.

The Sales Desk demo on mobility.adaramarketing.com is an AI answering for a made-up dealer. It says it is an AI whenever you ask, and the card you start it from says the call is transcribed. What you say is sent to ElevenLabs, which runs it and keeps the transcript for a limited time; the page shows you a short summary of the call when it ends. Nothing from that call is saved in our own records. If you opened the demo from a link we sent you, the link names your company, and when a call starts from it we get an email saying so, with the company name and which demo dealer you picked, and nothing you said.

Text messages

If you give us your number and agree to texts, on the booking form or to Ava on a call, we may text you about your request, for example to confirm a booked time or to let you know we tried to call. Message frequency varies, and message and data rates may apply. Reply STOP to any text to stop them, START to begin again, and HELP for help. A number given only for the website report is not texted.

We never share your phone number or your agreement to receive texts with anyone else for their own marketing.

Email and the newsletter

Emails about our services, and the newsletter, always include a link to unsubscribe, and most mail apps also show an unsubscribe button that works in one click. Unsubscribing stops those emails. It does not stop emails about work you asked us for, such as a proposal or an invoice.

The newsletter goes to people who signed up for it, and to people who asked to hear from us or have worked with us. We do not track whether you open our emails or which links you click.

How we find and contact businesses

We contact local businesses we think could use our services. To do that, we look up a business’s public details, such as its name, website, phone number and the email address it publishes, in public business listings and on its own website. We use AI services to read the public pages of the website and to help write the email. We may also call a business’s published number, or reach out on LinkedIn. If we bring our AI assistant onto a call, we ask first, and it says it is an AI.

Each of those emails says who we are and how to stop. If you reply asking us to stop, or tell us we have the wrong person, we do not email that address again. If you reply with interest, your reply and our email are kept as a record of the conversation.

When we work for a client

Some businesses we work for use our assistant to answer their own customers. If you contacted one of those businesses, your details are handled on that business’s behalf and under its instructions, and its own privacy policy applies. Send questions about those details to the business you contacted. If you write to us instead, we will pass your request on.

Who helps us run it

We use a small number of service providers, each for one job, and each handles your information only to provide that job to us. Today they are Vercel for hosting and for reaching some of the AI models named here, Neon for the database, Resend for email, Twilio for text messages and for checking that a phone number given on a form is in service, Retell AI for the phone assistant, which uses AI models from OpenAI and ElevenLabs, ElevenLabs for Ava, the voice assistant on our demo page, which uses AI models from Anthropic, Anthropic for the AI in the website check, the demo and our research, Google for the calendar that holds booked times and for our team’s email, Stripe for payments from clients, and Sentry, which tells us when something on our servers breaks and receives the technical details of that error.

To contact businesses we also use Google for business listings and for the mailbox those emails are sent from. At times we also use MillionVerifier to check that a published email address can receive mail, and Instantly to send those emails.

If you ask us to send your inquiry to a system you already use, such as your own customer records, we send it there too. We may also keep our own leads in a customer records system we use.

What we do not do

We do not sell your information or share it for targeted advertising. We do not share it with advertisers. We do not track you across other websites, and we run nothing that could. We do not add you to the newsletter because you requested a call, used the website check or talked to Ava.

Because we do not sell or share your information, there is nothing to opt out of. If your browser sends a Global Privacy Control signal, we treat it as that request anyway.

We do not ask for sensitive information, such as health, financial account or government ID details, and we ask you not to give it to our assistants or forms.

How long we keep it

We keep request, call and message records for as long as we are in touch or might reasonably follow up. We keep client records for as long as we work together, and afterward for as long as tax and legal rules require. Newsletter details are kept until you unsubscribe. Backups are kept for a short rolling period and then replaced.

When you ask us to delete your details, we delete them from our records, booked appointments and their calendar entries included, except what we are required or need to keep: invoices, accepted proposals, and a short record that you asked us to stop, which is what keeps you from being contacted again. Copies held by our service providers are removed on their own schedules.

Your choices and rights

Write to sales@adaramarketing.com, call (920) 508-0671, or send a letter to Adara Marketing LLC, 3422 Euro Ln, De Pere, WI 54115, to ask what we hold about you, to get a copy, to correct it, or to have it deleted. We will confirm it is you before we act, and we answer every request, whichever state you live in. Someone you authorize can ask for you, with proof that you did. If we turn a request down, we will say why, and you can ask us to look at it again by replying. We will not treat you differently for asking.

You can unsubscribe from any marketing email or the newsletter with its link, and stop texts by replying STOP.

Outside the United States

We are based in the United States, and our service providers mostly store and handle information here. If you contact us from elsewhere, your information is handled in the United States. Where your local law asks for a reason, we handle it to answer the request you made or the work you hired us for, for our legitimate interest in running and protecting our business and contacting businesses about our services, or with your agreement, as with the newsletter, which you can withdraw at any time. You can use the rights above, and you can also complain to your local data protection authority.

Children

This site and our services are for businesses. They are not meant for children, and we do not knowingly collect information from anyone under 16.

Security

We protect what we hold with encrypted connections, access limited to the people who need it, and protected sign in for our team. No system is perfectly secure. If a breach affects your information, we will tell you as the law requires.

Changes

We may update this policy. The date above shows when it last changed.
